Department Travel Policies

Here is a helpful travel guide aimed at helping EES department members navigate basic travel and reimbursement requirements at MSU. Note that specific research groups and organizations within MSU may have additional policies and requirements, so one should also request information from one's supervisor or advisor.

Please remember that all travel must be pre-approved—an approved travel request is required before your trip begins. Traveling without prior approval may make you ineligible for reimbursement, so be sure to get that submitted ahead of time. Here is how to add a Travel Request in Concur, if you'd like to do it yourself, otherwise the office staff can do it for you.

Here is a EES Basic Travel Expense Checklist outlining what to include when emailing the office for travel expense processing. It covers the most commonly needed information to help avoid delays. As always, stop in and see the EES office staff for any travel questions. Mr. Zhang will be handling most of the travel processing, but both Ms. Pickens and Ms. Canen are happy to help if you have questions or need support.

It is helpful and necessary to add all the office staff (Jiabao Zhang, Rachel Pickens, and Windie Canen) as delegates in Concur. This allows us to assist you with creating travel requests, expense reports, and making any needed adjustments to help keep things moving quickly. Department Truck and University Vehicle Policies

EES has a department truck that is available for use. The truck has a shell for the bed, so it is ideal for carrying gear to and from the field. Please review the EES department’s truck policy

If the truck is returned after 5 pm, the truck clipboard and keys can be returned at the right hand side of the mailbox in 208 NS. There will be a key for this space (room and mailbox) attached to the truck key ring.
